Travel and Event Industry Glossary
 
A
A la carte Each item is priced and sold individually on the menu in the restaurant. (A la carte items are usually not available for groups, special menu has to be requested).
Allotment A block of rooms which contracted to leisure & travel operators for specific period of time.
B  
Breakout room(s) Smaller meeting room(s) used for sessions that are part of a larger meeting or event.
Blackout dates
Dates that are not available for sale due to high demand and limited availability. Blackout Dates often occur over important congresses taking place in the town or over major holidays when people travel a lot.
C  
Cash Bar
Bar service where attendees pay for their own drinks.
Comp rooms
Complimentary rooms which  hotel provides free of charge (FOC)  based on total number of rooms reserved for the group.
Commissionable Rate
A guest room rate in which the hotel agrees to pay a specific percentage back to a designated organization. (A net rate is void of any commission).
Conference Package (FD)
Price per delegate related to a meeting at the hotel. Full day (FD) Conference package usually includes: main meeting room rental for 8 hrs, 2 cofee breaks, lunch (buffet or served) with limited amount of soft drinks and water in the meeting room. Generally better value than paying for all services separately.
Conference Package (HD) Price per delegate related to a meeting at the hotel. Half day (HD) Conference package usually includes: main meeting room rental for 4 hrs, 1 cofee break, lunch (buffet or served) with limited amount of soft drinks and water in the meeting room. Generally better value than paying for all services separately.
CSR
CSR is a concept through which companies openly acknowledge their part of responsibility for the society. The concept is based on principles of ethical and charitable standards and volunteer work and partnerships.

DDR Daily Delegate Rate related to Conference Package
DMC (Destination Management Company) DMC is a professional company that provides ground services based on local knowledge of their destination. These services can be hotel accommodation, restaurants, transportation, special group activities, excursions, conference venues, themed events, gala dinners and program logistics, meetings, incentive schemes as well as helping with overcoming language barriers.
Double (DBL) room Hotel room with one double bed. (See the difference between TWN room).
F  
Full day (FD) Usually means 8 hours and can be related to: city tour time, lenght of guides services, rental time of the coach, meeting room rental, rental of the technical equipment. If not specified, always ask the supplier how many hours their Full Day rental or service includes.
Flat rate Single fixed room rate negotiated for the group
H  
Half day (HD) Usually means 4 hours and can be related to: city tour time, length of guides services, rental time of the coach, meeting room rental, rental of the technical equipment.  If not specified, always ask the supplier how many hours their Half Day rental or services includes.
I  
Incentive House A company that runs incentive programs, often including  travel programs for  corporate companies.
J  
Joint Option (also Shared Option) The reserved space  is shared by two or more clients and the venue will proceed with the first one who makes the reservation definite.
M  
MICE MICE is abbreviation for Meetings, Incentives, conferences, and exhibitions. MICE is used to refer to a particular type of tourism in which large groups, usually planned well in advance, are brought together for some particular purpose. MICE tourism usually includes a well-planned agenda centred around a particular theme or topic, such as profession trade organization, a special interest group or an educational topic.
N  
No Show Hotel guest or event participant who fails to cancel a reservation, usually last minute changes. Usually charged at 100% penalties.
O  
Option Date Specific date when the reservation expires and the reserved space can be offered to another client.
R  
Rack Rate The published room rate before any discount has been taken into account. Usually set artificially high and tends to be given to a customer who requires accommodations for the same day without prior booking arrangements. The rack rate price tends to be more expensive than the rate that the customer could have received if he/she used a travel agency or third-party service. Rack rates can vary based on the day that the room is requested. For instance, the rack rate may be more expensive on weekends, which are usually high travel days.
RFP (Request for Proposal) Invitation to one or more suppliers to submit an official proposal for specific event, which should include details about their services and quotation.
RT Transfer (Return transfer) Rate for coach or car transfer where return way is already included. F.e. transfer from the hotel to the restaurant and back to the hotel.
Run of House rooms Available bedrooms in various categories allocated at the same rate.  At the discretion of the hotel.
S  
Shared Option (also Joined Option) The reserved space  is shared by two or more clients and the venue will proceed with the first one who makes the reservation definite.
T  
Twin (TWN) room Hotel room with two separate beds (usually used when 2 colleagues are joining one room)
W  
Waiting list Hotel rooms or venue reservation which is not confirmed but neither rejected. Someone else have reserved the space before you. In the event the first client doesn’t make a definitive booking within the option time, you should be offered to get the available space.
